Operations Coordinator - Job Description
Position: Operations Coordinator
Pay Range: $26.25-$32.55/hr.
Job Type: Full time, hourly, non-exempt
Benefits: Employee retirement with employer contributions, medical insurance, paid holidays, vacation, and sick accruals.
(Benefits available after successful completion of introductory period.)
Job Description: Primarily responsible for facilitation of day-to-day agency operations and support of agency operational functions. Reports to Executive Director. This is not a mandated reporting position. Not eligible for remote work.
Qualifications:
Required:

High school diploma or equivalency.

At least one year of experience performing similar or transferable duties in an office setting.

Ability to work independently and with minimal supervision.

Excellent problem solving, analytical, organizational, prioritization, and decision-making skills.

Highly organized and able to manage multiple deadlines in a fast-paced environment.

Essential Job Duties:
-
Maintain, copy, and distribute Wild Iris agency information to staff, volunteers, and community members.
-
Schedule staff meetings, create and distribute staff meeting minutes.
-
Organize agency events and activities, including staff development opportunities.
-
Coordinate staff and volunteer appreciation/recognition—birthdays, work anniversaries, holidays, thank yous, etc.
-
Enter donations into donor database; send donor appreciation notes.
-
Provide orientation, training, and support to staff with technology, equipment, and facilities-related needs.
-
Train, schedule, and supervise indirect service volunteers.
-
Coordinate the organization, purchase, and inventory management of office supplies at all agency locations.
-
Assist with organization, purchase, and inventory management of program supplies (gift cards, art supplies, client phones, etc.).
-
Purchase and maintain inventory of branded swag for tabling and branded wearables for staff and volunteers.
-
Assist staff with filing, shredding, copying, faxing, mailing, etc. as needed.
-
Maintain employee badges.
-
Provide office coverage as needed to facilitate staff lunches, breaks, etc.; provide day-to-day logistical support to staff in the absence of the Executive Director and Programs leadership.
-
Oversee maintenance and cleaning of agency vehicles and maintain vehicle registration; maintain list of expiration dates for staff and volunteer drivers license and insurance documents and request updated documents as needed.

Coordinate cleaning, maintenance, and repair of agency facilities and office equipment; point of contact for vendors/contractors.
-
Coordinate purchase, use, maintenance, and repair of agency phones and computers; point of contact for vendors.
-
Manage facilities security systems; coordinate with security company.
-
Complete all documentation required by law, grantors, and agency policies.
-
Maintain accurate time keeping records in accordance with state and federal labor laws, ensure staff compliance with laws.
-
Adhere to the policies, procedures, and guidelines of the agency including representing the agency in a professional manner and maintaining the highest standard of confidentiality.

Work as needed in offices in Inyo and Mono Counties.

Perform other duties as assigned.

Court Appointed Special Advocate (CASA) Staff Advocate- Job Description
Position: Court Appointed Special Advocate (CASA) Staff Advocate
Reporting Office: Bishop, CA
Pay Range: $26.25-$32.55

Job Description: The CASA Coordinator assists CASA staff and volunteers in the day-to-day operations and with special projects as well as provide advocacy for CASA youth. This is a mandated reporting position. May supervise volunteers. Reports to CASA Program Manager.
Qualifications:
Required:

High School diploma or equivalency and at least 21 years of age.

At least one year of experience performing similar or transferable duties.

A high degree of integrity in dealing with confidential information.
-
Ability to work with diverse populations.
-
The ability to work well under pressure and deal appropriately with crisis and stress situations.

Highly computer literate. Proficient with Microsoft Office. Willing to learn industry specific client-based software.

Demonstrates clear, professional, accurate information in both oral and written communications.

Ability to work independently and as a member of a team.

Excellent organizational skills, flexibility, and the ability to prioritize.

Able to work some evenings and weekends.

Bachelor’s degree in child development or related field.

Experience with child welfare system and knowledge of related laws, or experience with court systems.

Essential Job Duties:

Assist in the recruitment and retention of CASA volunteers.
-
Provide technical assistance, support, and information to volunteers.
-
Maintain confidential personnel files for each CASA volunteer.
-
Organize and maintain case records in accordance with applicable laws.
-
Maintain program databases including entering case and volunteer information and preparing reports.
-
Assist with the organization of, and participate in, events and activities which increase awareness and community investment in the program and recruitment
-
Complete all documentation required by law, grantors, and agency policies.
-
Complete 32-hour CASA volunteer training and maintain certification compliant with National CASA standards. This training is provided by Wild Iris.
-
Oversee reporting about and make mandated reports of child, dependent adult, and elderly abuse or neglect per California Penal Code Section 11165.7.
-
Advocate for youth in community settings such as court, school, social services, and medical appointments.
-
Write court reports based on the best interest of the youth and attend scheduled court hearings.
-
Adhere to the policies, procedures, and guidelines of the agency including representing the agency in a professional manner and maintaining the highest standard of confidentiality.
-
Work as needed in offices in Inyo and Mono Counties.

Perform other duties as assigned.
